Kraus Law PLLC is hiring a part-time legal assistant and office coordinator to support a busy business law practice in Granbury, Texas. Kraus Law is the professional services corporation of a senior partner and practice group leader at Scale LLP, a distributed national law firm of over 80 attorneys. This local office serves as a hub for in-person client meetings, business development, and community engagement for our growing North Texas presence. We’re seeking a polished, organized professional to provide administrative support for the local office, including handling new-client intake with care, keeping the office running like clockwork, and supporting growth through research, networking, marketing, and presentation support. We’re looking for a legal assistant and office coordinator based in or near Granbury, Texas to be an integral part of our Granbury office. The ideal candidate is professional, kind, personable, and punctual, the kind of person who makes every visitor feel they have arrived somewhere serious and welcoming. They are equally comfortable greeting a prospective client at the door, handling new-client intake, coordinating attorney calendars, researching local businesses, preparing presentation materials, and posting an update to the firm blog. Your responsibilities fall across five core areas: • Greet clients, prospects, and guests warmly and professionally; ensure every visitor experiences Scale at its best from the moment they walk in. • Maintain a calm, polished, and punctual presence: you set the tone for the office. • Handle phone, email, and walk-in inquiries with discretion and care. • Serve as the warm, professional first point of contact for new client inquiries by phone, email, and in person. • Gather intake information, run conflict checks, route inquiries to the appropriate attorney, and shepherd new clients through engagement letters and onboarding. • Help ensure every prospective client experiences a smooth, attentive introduction to the firm and its services. • Support day-to-day operations of the Granbury office: keep meeting rooms clean, professionally stocked, and client-ready at all times. • Manage electronic document filing in iManage; ensure matter files, correspondence, and intake records are organized and retrievable. • Coordinate attorney calendars, schedule meetings (in person, Zoom, and Teams), and protect attorney focus time. • Handle incoming and outgoing mail, courier and filing logistics, notarization coordination, and office supplies. • Process and upload invoices into Ramp; enter expenses into Clio for court filings, service fees, and other matter-related costs. Provide assistance to attorneys as needed on billing questions, time-entry corrections, or client invoice inquiries in Clio. • Support attorney networking and community presence, by maintaining contact lists, scheduling coffees and introductions, attending select Chamber of Commerce and community events, and following up on leads. • Coordinate client-development events hosted at or sponsored by the office. • Build and maintain relationships with referral sources and local professional organizations on behalf of the firm. • Research prospective clients and target industries using local business publications, LinkedIn, and other public sources to build a prioritized outreach list and inform attorney follow-up. • Prepare and refine presentation materials (including PowerPoint decks, pitch materials, one-pagers, and handouts) for client meetings, speaking engagements, and business-development pitches. • Maintain and update the supervising attorney’s professional blog and related web properties; post drafts, format articles, manage images, and schedule publication. • Support social and email marketing efforts (LinkedIn posts, newsletter scheduling, list hygiene). • Help ensure the firm’s local presence, both digital and physical, looks the way Scale should look. You have meaningful office management, client services, or operations experience, ideally in a professional services environment (law, accounting, finance, or consulting). More important than years of experience is the combination of polish, judgment, initiative, and follow-through. You should be: • Professional, kind, and personable — clients should leave every interaction feeling well taken care of. • Punctual and reliable — you arrive early, follow through, and close every loop. • Discreet and trustworthy — you’ll handle confidential client information daily. • Self-directed — you can work independently as the local point of contact for a remote-first national firm. • Outward-facing and curious — you genuinely enjoy meeting people in the community and helping the practice grow. • Detail-oriented — whether it’s an intake form, a calendar invite, a blog post, a slide deck, or a meeting room, it’s done right. Day-to-day work runs through a modern legal and collaboration tech stack. You should be proficient (or able to ramp quickly) in: • Clio (practice management, billing, matter intake) • iManage (document and email management) • Microsoft Office 365 (Outlook, Word, Excel, SharePoint), with particular strength in PowerPoint for client-ready presentation materials • Google Workspace (Gmail, Drive, Docs, Sheets, Calendar) • Zoom and Microsoft Teams (meeting hosting, scheduling, AV troubleshooting) • WordPress or a comparable blog/CMS for posting and updating blog content • LinkedIn and basic email-marketing tools (Mailchimp, Constant Contact, or similar) a plus This is a part-time, on-site role with a set weekly schedule: • Monday – Thursday: 9:00 a.m. – 3:00 p.m. • Friday: 9:00 a.m. – 12:00 p.m. This position will be paid on an hourly basis at a competitive rate commensurate with experience. While this is a part-time, on-site role at our Granbury office, you will be the local face of a fully distributed national firm and will work closely with firm leadership and operations colleagues across the country. The successful candidate plays a central role in our community-driven, remote-first structure, creating an environment where attorneys, clients, prospects, and visitors experience Scale at its best when they come through our doors, and helping the firm’s North Texas presence continue to grow.
